What’s New in Continia Document Capture?

Document Capture is an end-to-end solution for Microsoft Dynamics 365 Business Central that enables you to import, OCR-process, register, approve, and archive invoices and other business documents. It streamlines and automates every step of your document management process, featuring a full approval workflow that allows users to approve documents after they’ve been received, scanned, and registered. Also, the digital archive makes it easy to retrieve previously processed documents for auditing, reporting, or other purposes.

…plenty, actually. We’ve put the complete video below and you can find a helpful PDF document here that summarises some of the really impressive new features, but we’ll summarise a few below too.

 
General Updates

New Modules
There’s a few new modules, including Continia Finance (release mid/late April) which is “The Swiss Army Knife for Finance Departments”, as well as Continia Sustainability (Reliable and Certified Carbon reporting – this will only become increasingly more important for UK SMEs) for ESG reporting (release spring/early summer) that will be an initial foundation release which will allow for expansion on this module in future. We’re really looking forward to sharing more information on these modules, as they’re set to be big features for saving you time and simplifying your processes.

 
General Changes
Ever keen to make people lives easier, there’s a number of enhancements including…

    • The ability to open the document log in the Document Journal, the addition of an arrow navigation in document journal and document card, as well as a reorganisation of actions in user setup.

 

    • Attachment fact box now available on GL and Purchase Journals – meaning you can attach and view at the journal level without the need to drill to the originating transaction.

 

    • General recognition enrichment, including improved AI recognition and vendor creation.

 

    • Enhanced fraud check for vendor phone and bank account numbers.

 

    • Secure archive support for GL and purchase journal.

 

    • Amount distribution codes now available on document lines.

 

    • General enhancements to approvals.

 

    • Automatic consecutive approval.

 

    • Web approval portal, so expenses and documents are all in one place.

 

    • Order and receipt matching, with sharper comment messaging and currency rounding.

 

 
Version Number Update
The version numbering has been brought in line with the Business Central version numbers, therefore Document Capture 2023 R1 was V12 and Document Capture 2024 R1 is now 24, to match the Business Central V24 release so it’s more consistent.

 
Digital Vouchers – (Enforcement of Attached Documents on specific transactions)
Document Capture now works inline with the Business Central Digital vouchers functionality, this includes purchase allocations and covers all OCR and XML.

It is optional, but you can set it up in Continia as well as Business Central. In some regions, this functionality is mandatory and as such Continia will follow these rules too.

 
Document Control Log
Extends the secure archive with proactive checks, if documents are deleted it will notify and retrieve related information such as find related entries and document log summary. What does this mean? Requires less manual review, enhances security by alerting about failed docs and maintain data integrity.

 
Data Maintenance
You can now delete OCR records and purge GDPR data. What does this mean? There is now a document retention period (number of closed fiscal periods) to allow you to comply with GDPR legislation. Additionally this functionality will improve over all system performance. The OCR retention and GDPR retention have difference retention periods and have separate routines to manage this.

 
Purchase Contracts
It is possible now to add a second comment line so that the recognised document description is entered in to the posting description.

 
Variable Pricing Management
Means that the accuracy of the OCR is improved as fixed contract lines are taken from the contract and the variable value from the OCR document.

 
Purchase Documents – Register & Post Delivery Notes
Automated registration of goods received; update qty to receive and post the receipt (and invoice if applicable).

 
Purchase Documents – AI Enhanced Line Recognition
*This is only available on Cloud OCR*

AI-based assistant suggests changes to recognition and combines the AI recognition with manual capture. This functionality is being rolled out over the next 3 months.

    • It is possible to now add/remove line fields without having to reopen the Document Cards.

 

    • You can capture multiple lines in to 1 line on a document.

 

    • Also capture information based on columns.

 

    • It will now be possible to mark captions on the row as well as the existing column marking.

 

    • Specify pre-fixed values if there is not a recognised value on the document.

 

  • It will now be possible to use RegEx to pick information out of strings of text.

 
Purchase Documents – eDocuments
Continia eDocuments is the handling of XML and the Continia delivery network, which is for support of things such as PEPOL management requirements. This really makes the electronic document management process super straightforward.
