Phase One: Detailed Project Scoping

Our Dynamics SmartScope™ approach begins with us getting a detailed understanding of your business, your key business processes and your requirements. Working alongside your team we will visually map out key areas of your business to understand exactly how you’re currently working and how it can be improved with Microsoft Dynamics 365 Business Central.

You’ll be assigned a dedicated Project Manager, who will be responsible for creating and managing your project from start to finish. They’ll act as your point of contact for any of your queries and you’ll always have a direct line of communication to them – whether it’s via chat, voice call or video whenever you need them.

Phase Two: Data Migration with Accuracy Guarantee

You’ll receive a project schedule, which ensures that there is clarity between everyone of when each key milestone should be completed. By assigning tasks, the progress of key jobs (such as preparing import data) can be seen, so there is opportunity for discussion and updates.

Phase Three: Expert Project Implementation

By now, we’ll have a deep understanding of your business needs and requirements, and we will have a detailed project plan based on the Dynamics SmartScope™ Packs that you move forward with – now it’s time for implementation.

Our project managers are not only qualified in Microsoft Dynamics 365 Business Central but are also AAT qualified as a minimum, meaning they understand accountancy inside out, and will follow PRINCE2 project management processes. This ensures that your project is structured throughout and fully documented at every single stage.

Phase Four: Training and Go Live

On completion of the system implementation, we will begin to prepare for go live with a series of User Approved Testing which will ensure everything meets your requirements. Once approved, user training sessions will take place and can be recorded too, for future use. Your system will then be put live and ready to use, with support from your Project Manager.

Your recorded training will be a valuable asset for referring back to any point and using as part of inductions for new members of your team, or personalised training sessions on each area of the system.

How Does Dynamics SmartScope™ Work?

Dynamics SmartScope™ projects are based on our Dynamics SmartScope™ Packs which are the building blocks of your Microsoft Dynamics 365 Business Central system. Each pack contains installation, set up and training (if required) in key areas of the system to provide you with a project plan which has a fixed scope and a fixed price, so you know exactly what you’re getting and exactly what you’re paying for.

Each Dynamics SmartScope™ Pack will be configured by one of our AAT accredited consultants, who will use their knowledge of best practice accountancy, Microsoft Dynamics 365 Business Central and your specific needs to build your system.

Core Financials Pack

With the Finance Core Pack, we’ll get you up and running with your core financial modules. After your data migration, it will be business as usual – plus plenty of extras compared to your previous software. We’ll set up your data and provide training if its needed on general and nominal ledger function, cash management and your purchase and sales ledger. Your data related to customers and vendors will be visible from Outlook, plus create and send documents, such as quotes, orders and invoices straight from Outlook too.

Financials Plus Pack

The Financials Plus Pack gives you everything from the Core Financials Pack but allows for the setup and consolidation of additional companies too. We’ll combine multiple charts of accounts and intercompany general journals, and you’ll have the ability to view all intercompany transactions from one platform. Once that’s complete, we will setup the reporting dimensions too, so you can get a holistic view over all of your companies in only a few clicks. Viewing and managing multiple companies has never been easier.

Fixed Assets Pack

With our Fixed Assets Pack, we can migrate your data so you can manage your internal assets, track their history and see employee allocation and tracking from Business Central. With the Fixed Assets Pack, we’ll help you understand how to track warranty, service details and insurance information for each of your individual items, so you can easily monitor and manage equipment and other assets from a single platform. See your fixed asset opening balances and easily calculate the depreciation of any asset.

Authorisation Pack

If you have a number of employees with access to your purchase ledger or that can action purchase orders and invoices, then you may want to consider the setup of approval workflows for additional peace of mind. With the Authorisation Pack, we’ll set up purchase ledger authorisation, so you can better manage your purchase ledger approvals and streamline your business processes quickly and efficiently. It will also allow for authorisation of key data changes within the business to maintain security and content too.

Contact and Opportunity Pack

The relationship management features of Business Central helps you manage and support your sales efforts. We’ll import your data, so you have access to complete and accurate information from the very beginning of your journey with Business Central. We’ll import your contact information and migrate your customer opportunities, so you can easily manage contacts and groups. Your sales information and stages will be accurate, so you can focus your efforts on campaign management, sales processes and customer service.

Sales and Purchase Ordering Pack

Streamline your supply chain easily with the Sales and Purchase Ordering Pack. Use a wide range of documents to set up the sales or purchase processes that best suits your needs. We’ll import open sales and purchase orders, as well as import your description-only stock. We’ll help you understand how to manage sales and purchase orders, manage your delivery process, invoicing processes and managing a base inventory and stock lists, helping you to make the most of your software to manage sales, purchases and stock.

The Stock and Inventory Pack

The Stock and Inventory Pack includes all of the essential features you’ll need to handle the sale and purchase or your inventory stock. With our base pack, you will be able to manage your stock costings, movements, inventory and pricing. All these features will integrate with the Core Financials Pack and you’ll be able to track item availability and location, simplify your stock take process and manage customer price groups and any special pricing. Now you can simplify your sales and inventory forecasting and stock reserves.

Stock and Inventory Plus Pack

The Stock and Inventory Plus Pack allows you to build upon your stock base setup with features such as multi-locations, bin locations and serial traceability. We’ll simplify your stock take and management even further with the setup of features such as multiple stock locations and bins within stock locations. Gain better visibility of your stock with direct location-to-location transfers and define lead times between them. Everything will be accounted for with serial and lot tracking and end-to-end warehouse tracking.

Jobs Pack

With the Jobs Pack, you can manage long-term projects that involve labour and machine hours, inventory and other types of usage. It will provide a good overview of not only individual jobs, but also the allocation of employees, machinery, and other resources that are being used in all projects. We’ll setup job-specific prices and costs for resources, items, expenses and resource group pricing. You’ll be able to easily track budget vs. actual costs and expected billable vs. actual invoiced sales and manage all aspect of timesheets.

Employee and HR Pack

Manage all aspects of employee data records with the Employee and HR Pack. In Business Central, you can keep detailed records of your employees. You can register and maintain employee information, such as employment contracts, confidential information, qualifications, and employee contacts. You can also register employee absences, which allows you to analyse registered absences and leave, as necessary. We’ll also show you how to setup important internal records such as training and disciplinary information too.
