A Tried, Tested and Fully Documented Implementation Procedure

Once your Advanced Business Cloud Essentials project has been signed off, the consultant who you have been working with will work closely with our project implementation team to ensure a smooth handover of all relevant information. From there you will be assigned a dedicated Project Manager who will carry out the set up and implementation of your system, train your staff and manage the project alongside the key members of your business.

Our projects follow a combination and Prince 2 and Agile methodology and are fully managed through Microsoft Teams, allowing for tasks to be scheduled, training sessions to be recorded and discussion between all key parties at every stage of the project.

Step 1: Project Set Up

The first stage of your project will be the creation of your project on Microsoft Teams. This allows us to share all key tasks required from both sides (including any data preparation) along with ensuring all key people can access the project and understand how it works so tasks can be updated and discussion can take place. Users can access Microsoft Teams through the application or via a web browser.

Step 2: Project Schedule

Once everyone who needs access, has access to the project a full project schedule will be created, detailing every step of the project along with deadlines and key dates. This schedule ensures that the project meets key deadlines and, ultimately, meets the planned ‘Go Live’ date of the project. The schedule incorporates all work needed by both parties and all training sessions required for your staff members.

Step 3: Implementation

As this stage work begins on setting up your new Advanced Business Cloud Essentials system in line with your requirements and using any data that has been supplied. The system will be configured by a fully qualified Business Cloud Essentials technician and regular updates will be provided so you can see, and test, key parts of the software in advance of the training and go live dates planned into the project schedule.

Step 4: Training & Go Live

On completion of the system implementation we will begin to prepare for go live with a series of User Approved Testing which will ensure everything meets your requirements. Once approved, user training sessions will take place over Microsoft Teams and will be recorded too for your future use. Your system will then be put live and will be ready to use, with support from your project manager.

How Our Project Management Process Works

Our projects are managed via Microsoft Teams which allows, in virtually every instance, for the full project to be carried out remotely. This not only allows us to create a shared portal of tasks, a project schedule, shared files and discussions but also to record every training session for your staff so they can re-watch them as required, or to be used to train future employees.

A Dedicated Project Manager

Your dedicated Project Manager will be responsible to both creating and managing your project from start to finish.

As well as setting tasks and managing the project schedule, your project manager will also be available on Microsoft Teams for any questions or queries you have throughout your project, giving you a direct line of communication to them via chat, voice call or video whenever you need them.

The project schedule ensures that there is clarity between everyone in the project of when each key milestone of the project should be completed.

By assigning tasks to all relevant parties, the progress of key jobs (such as preparing import data) can be seen within the project, updated as required and can incorporate any discussion relating to each task individually too.

Shared File Store

To ensure all files are stored, updated and managed efficiently, Microsoft Teams provides a secure location for all data.

This could include any data sets that need to be imported into your new system or document designs created by your project manager for checking and approval, for example.

Recorded Meetings and Training

With approval of all parties, we record all meetings and training sessions carried out over Microsoft Teams. This not only provides an excellent resource to check any details from meetings, but also provides a recording of your personalised training sessions on each area of the system.

This can be invaluable for existing users who need a refresher, or for new staff who missed the original training sessions.
